SchoolCal privacy policy

Last updated October 19, 2026 (adds Plus reminders and the Sunday digest). Not yet reviewed by a lawyer.

SchoolCal is a Telegram bot made by Hall House Labs in North Carolina, USA. Contact: german@hallhouselabs.com.

What we collect

• Your Telegram chat ID and first name (provided by Telegram), so we can reply to you.
• Your time zone, which you tell us, so dates and times land correctly in your calendar.
• A count of emails processed and dates found, with timestamps, to apply the free limit (5 emails every 30 days), keep the service fair and measure whether it works. No email content.
• Plus license key, if you activate SchoolCal Plus, so we can re-check that your membership is still active. We delete your /activate message from the chat when possible.
• Saved events (Plus only, with reminders on): to send reminders and the Sunday “week ahead” message, we save each extracted event’s title, date, time, place, type (event, deadline or closure) and weekly schedule, plus when its next reminder is due. Never the email text. Free users have no saved events.

We do not store the emails you send, on any plan. Each email is read in memory, the dates are sent back to you, and the text is discarded. The one exception: if you send an email before telling us your time zone, we hold that message briefly so we can read it once the zone is known, then erase it. We do not collect your phone number, contacts, location, or anything outside this chat.

How we use it

Only to run the bot: reading dates from the emails you paste, sending them back as a list and calendar file, and (if you use Plus) checking your membership and sending you reminders and a weekly summary in the same Telegram chat. Email text is read by a rule-based parser on our server; it is not sent to any AI service or third party for analysis. We do not sell your data, share it for advertising, or profile you.

Who else handles data

• Telegram carries every message and file. Telegram's own privacy policy applies. Bot chats are not end-to-end encrypted.
• Supabase hosts our database and servers (United States region unless stated otherwise).
• Google Calendar buttons open Google's own page in your browser; we send Google nothing.
• Gumroad handles Plus payments and license keys if you buy Plus; we never see your card details. Only your license key is sent to Gumroad to check it.

How long we keep it

Account data is kept while you use SchoolCal. Processing counts older than 180 days are deleted. Plus saved events are deleted automatically 7 days after the event (weekly events: 7 days after the last occurrence, and at most 16 weeks when the email gives no end date). Send /reminders off to stop reminders and delete all saved events right away; if your Plus membership ends, saved events are deleted within a day. Send /delete confirm to the bot at any time to erase everything we hold about you immediately.

Security

Data lives in a private database that is not reachable from the public API; access is limited to the bot's servers. No system is perfectly secure, so please do not paste passwords, card numbers or other highly sensitive information into SchoolCal.

Children

SchoolCal is for parents and guardians, not for children under 13.
